What this site collects, and what we do with it.
This site exists to explain the firm's work and to take proposal requests. It collects nothing beyond what you type into the proposal form.
The proposal form
When you request a proposal, the form asks for the association's name and address, your name, role, email, and phone, the recipient of the proposal if that is someone else, and the engagement details: the service needed, fiscal year end, prior-year service, revenue band, reserve approach, and recent events. Every answer is used for one purpose: to confirm the level of report Florida law requires and to prepare the association's proposal.
The form is processed by Jotform, a form service the firm has used since before this site was built. Your answers travel to Jotform over an encrypted connection, are stored in the firm's Jotform account, and are emailed to the principal. Jotform's own privacy policy is at jotform.com/privacy.
How the details are used
- To prepare and send the proposal, and to contact you about it by phone or email.
- If the association engages the firm, the details become part of the engagement file, which the firm keeps for at least seven years after the report is released, under its document retention policy and the rules that apply to Florida CPA firms.
- If the association does not engage the firm, the request is kept only while there is a reason to follow up on it, and is then deleted from Jotform and from the firm's email under the firm's document retention policy.
The firm does not sell, rent, or share the details with anyone outside the firm, other than Jotform as described above, and does not use them for marketing beyond following up on the request itself.
What the site does not do
- No analytics, advertising, or tracking scripts run on this site.
- No cookies are set by this site. Your browser may store the site's fonts and stylesheet to load pages faster; that stays on your device.
- The report finder on the home page and the Florida requirements page runs in your browser. The revenue figure you enter is not sent anywhere unless you then submit the proposal form.
Your choices
You can ask what the firm holds about you or the association, ask for it to be corrected, or ask for a proposal request to be deleted. Call 754-354-3231, Monday to Friday, 9:00 AM to 5:00 PM ET, or write to scott@hoaassurance.com.
